How Do I Stop Missing Calls at My Auto Repair Shop?

Jonas Sami

TL;DR: You stop missing calls by making sure something answers every one of them. A voice Agent takes several calls at once, books simple jobs into your calendar and hands the rest to your team with the details. Setup takes 24 to 48 hours.

Nobody ignores the phone on purpose. The owner is under a car. The front desk is helping a customer at the counter. A second call comes in while the first is still going. This post covers why those calls get lost, what shops try, and what stops it.

Why calls get missed in a busy shop

Even the person whose job is to answer the phone cannot do everything at once. The load gets heavier at certain times of year. In Quebec, the law requires winter tires on vehicles before December 1, so the end of October and all of November turn into a rush. Simple jobs like a tire change, an oil change or rust proofing pile up, and the people who want them cannot get through.

Some callers dial 3, 4 or 5 times before a receptionist picks up. Many do not try that hard. They call a handful of shops and book with the first one that answers.

We lived it first

We started We SimpliFi because of this. Booking a simple oil change or tire change meant calling 3, 4, 5 different shops before anyone picked up. That is a poor way to buy a service, and a poor way for a shop to lose a job.

How many calls are we talking about

Between 30% and 50% of calls to a shop arrive after hours or when nobody can answer. About 20% of callers leave a voicemail. One garage owner missed 300 to 400 calls a month, and bigger shops miss 200 to 300.

What shops try first, and why it falls short

Every shop handles this its own way. These are the five approaches we see.

  • Voicemail. Messages pile up faster than anyone can return them, and some owners give up on it.
  • No voicemail. The shop expects customers to call back, and many do not.
  • Texting customers back. It works until the number of conversations becomes overwhelming.
  • Seasonal hires. This helps bigger shops that have the volume to justify the cost. Smaller shops cannot afford it.
  • Letting it ring. Some shops have done this forever. They miss the call and accept it.

The biggest phone mistake

Other than not using a voice Agent, the biggest mistake we see is having no voicemail at all, or never calling people back. It makes the business look like it does not care about its customers. And even a good voicemail is still a missed call. The caller did not get a booking or an answer, and the shop now has a callback to make.

What a voice Agent does differently

A voice Agent holds several conversations at the same time. That matters for shops without a second or third line. When a caller waits too long on a waiting line, they hang up, and that is another lost job.

Most shops still take most of their bookings by phone, not online. The Agent brings the ease of online booking to the phone. The caller says what they need, the Agent offers the nearest open slots, and the appointment lands in the shop's calendar in the right slot with no double booking. We walk through that flow in Can AI Receptionists Book Appointments Automatically?

The numbers so far: one client had almost 150 rust proofing bookings in one month, plus about 30 tire and oil bookings. Calls usually last 1 to 2 minutes. For one client, 40% to 60% of calls end in a useful outcome, such as an answered question, a booking, a detailed message or a quote request.

What the owner sees

At the end of the day the owner scans the calendar and checks that it looks right. That replaces a stack of voicemails and callbacks, and it frees attention for invoices, quote requests, customers at the counter and the harder jobs.

When the Agent cannot finish a request, it passes the details to the team: what the customer wants, what it is about, and what they need. Follow ups go faster because nobody starts from zero. The caller also knows someone will get back to them, so they have less reason to call another shop. The same approach works for email, with an email Agent.

If you already have a receptionist, the Agent does not have to replace them. It can sit behind them as backup. We wrote about that in Should You Really Replace Your Receptionist?

What you need to get started

  • A calendar the Agent can connect to. We recommend Google Calendar. It is visual, easy to use, and better than the calendar in most shop management software.
  • A phone that can forward calls. Any mobile phone can do it, and so can almost any landline.
  • The details of how your shop works and how you want calls handled.

If you do not want appointments booked automatically, that is fine. The Agent sends you the appointment request and your team follows up with the customer. Some newer shop management platforms also connect directly or sync with Google Calendar. If your shop management software is outdated, we also offer a modern one for free as part of the service. It has a calendar, a CRM, vehicle records and service history.

Setup takes 24 to 48 hours once we have your details. We have run this for multiple shops, so we know what works. We test during that window, then run close checks for the next 7 days. Our team keeps reviewing calls and quality on an ongoing basis. You get a weekly check in for the first 3 weeks and a monthly one after that.

Who should wait

An Agent is a poor fit if you do not use a computer, do not enter appointments in a calendar, or do not use a calendar on a computer or phone. The Agent needs somewhere to put the booking.

It may also not matter yet if you rarely miss calls. That is hard to judge from the inside, and most owners never counted how many calls they miss or how many voicemails they get. So we offer a free 2 week audit with our voice Agents for auto repair shops. The Agent replaces your voicemail and only takes messages. You see when calls are missed, which calls reach the Agent and what each caller wanted. A voicemail box cannot show you that.

What to do if you will not use an Agent

There is not much else. A voicemail still means a missed call. The other route is hiring someone to answer, which costs at least $4,000 a month in salary, benefits and taxes. An Agent can book the appointment, answer the question or take the request, so the call is not missed. Even when it cannot finish the job, the customer feels handled and is less likely to call another shop.

Where to start

Missed calls come from too many calls and too few hands. Start by counting how many you miss. If the number is higher than you expected, an AI receptionist built for auto repair shops takes the simple calls off your plate and gives the rest to your team with the details attached.

Key takeaways

  • Calls get lost because one person cannot answer them all, and the tire season rush makes it worse.
  • Voicemail, texting back, seasonal hires and letting it ring all still leave calls missed.
  • A voice Agent takes several calls at once, books into your calendar and passes the details to your team.
  • You need a calendar and a phone that forwards calls. Setup takes 24 to 48 hours.
  • A free 2 week audit shows how many calls you miss today.
