How Many Calls Is My Auto Repair Shop Really Missing?

Jonas Sami

TL;DR: Most auto repair shops miss more calls than the owner thinks, because almost nobody counts them. Public data and our own numbers point the same way: a real share of calls go unanswered, and many callers do not try again. The only way to learn your number is to count for a week. Our voice Agent does that in the free 7-day Call-Leak Check, and setup takes 5 to 10 minutes.

Ask a shop owner how many calls they missed last week and you will usually get a guess, or a shrug. That is not carelessness. A missed call leaves no trace, and there is no list of the jobs that went to the next shop.

This post covers why the real number is hard to see, what public data says, what we see in real shops, and how to count your own calls for free.

Why most owners do not know their number

Nobody tracks it. Most owners have a feeling that they are probably missing calls, and some feel it strongly, but it is not a number they ever look at. In a 2022 survey of 601 small businesses, CallRail found that 87% of leaders said they often or sometimes miss calls, and fewer than half used any technology to track customer interactions.

Most missed calls also leave nothing behind. Only about 20% of callers leave a voicemail. The rest call the next shop, and the first shop that picks up usually wins the job. We cover that in How Do I Stop Missing Calls at My Auto Repair Shop?

A lost job never shows up as a line in your books, so the cost is easy to ignore. If even a few missed calls a month were real jobs, an average repair order near $700 makes that add up fast.

What the public numbers say

There is no clean public number for independent shops. These figures come from studies of chains, dealers and small businesses in general, so read them as a direction, not as your number.

What we see in real shops

We run voice Agents for auto repair shops, so we can see the calls that nobody picked up. These are counts of real calls from two shops, with no customer details.

One garage in its busiest weeks

In one week in October, this garage's public line received 241 calls. The owner answered 151 of them, and 78 went on to the Agent because nobody picked up in time. The owner still answers first. The Agent only takes the calls the owner cannot.

In its two busiest weeks the Agent handled 93 calls each, and 41 to 43 of those ended in a booking, a detailed message or a quote request. Between mid August and late October the Agent took 778 calls, and about one in four came outside opening hours.

A second shop

Another shop had 417 calls reach its Agent over the same period, and about one in eight came outside opening hours. Its busiest week ever was 80 calls.

Neither owner had a number for this before. Almost no one does, because it is not something shops track.

How the 7-day Call-Leak Check works

The check counts your missed calls for a week, so you stop guessing. It costs nothing and does not commit you to anything.

  1. We set up call forwarding from your main line to our Agent's line, so a call you do not answer goes to the Agent instead of voicemail. That takes about 5 minutes.
  2. You answer a few quick questions about the calls you usually get. In 5 to 10 minutes everything is ready.
  3. For 7 days the Agent picks up what you miss. It takes the caller's message and gives quick answers such as basic pricing or your address.
  4. Each day you get a short report of how many calls went to the Agent.
  5. On day 7 you get a full report with the numbers and what they mean.

What the report shows

The report breaks down every call by what the caller wanted:

  • Booking an appointment
  • Asking for a price
  • Asking for opening hours
  • Asking for the address

That separates real opportunities, such as someone who wanted to book, from calls that were only looking for information. You get it by email, or in the format you prefer, along with a visual PDF with concrete action items. We list the biggest levers first: what would fix the leak fastest and return the most.

With real numbers you can make a better decision. Some owners will see that they need to hire a receptionist. A voice Agent can cover the leak right away while they look for one.

What happens on day 8

If you decide not to go further, it stays free. You keep the report, and you are welcome to come back if the need returns. There is no commitment.

Who should do a Call-Leak Check

Every shop. It works like a vehicle inspection: it costs you nothing, and you may be surprised by what it finds. The only owners who can skip it are those who already track their calls and know their numbers.

For everyone else, the free alternative is going through your phone's call log one call at a time. It takes a lot of time for very little return, and most owners never do it. The check does it for you, automatically, and you do not have to think about it.

So how many calls is your shop really missing?

You will not know until you count. The public data says the number is higher than most owners expect, and what we see in real shops agrees. The 7-day Call-Leak Check gives you your own number in a week, with nothing to install and nothing to pay. You can ask for yours on our site, and if the number is high, an AI receptionist built for auto repair shops can answer the calls you cannot.
